Events team & its role in Interceptions

Events Team & its role in the Interceptions showcase

 

 

Joining the events team exposed me to the decision-making process that would take place behind the scenes of an art exhibition. Although I was part of several events as volunteer or participant, I have never taken on the responsibility of planning and executing a showcase. It was an exciting yet daunting challenge that the events team and I were geared to accept! Headed by Hui Juan, we were allocated tasks to complete and deadlines to meet to ensure efficiency. Meeting were also scheduled to ensure that information was passed on formally and there was also a WhatsApp chat to communicate offline. 

 

During the process of preparing for Interceptions, I was in charge of doing up the evaluation forms for visitors that will aid in post-event evaluation. While preparing the form, I looked up resources online and learnt from other exhibitions that made use of evaluation forms to solicit feedback. My job was to ensure that visitors provide the information that the team would need to evaluate our showcase and strategies. This meant that questions have to be concise and straight to the point so that visitors do not experience survey fatigue. Using a mixture of open-ended questions that required a one to a few words answer, MCQ options and Likert scales, the questions sought to understand the visitors' motives in coming for Interceptions, their experience at the galleries, the social media platforms that our visitors engaged with and further suggestions that they would like to recommend. Through the survey, we are able to gauge the success of our events as well as understand the demographics of our visitors which may serve as important data for the planning of next year's random blends.

 

During the countdown to Interceptions, I helped in the promotion of Interceptions to the NUS community during the roadshow at AS1's walkway and shared several Random Blends' posts on my Facebook and Twitter accounts to extend reach to my social circle. Being part of this event has filled me with pride and honour to be able to organise such a public event under the name of NUS CNM. Together with the rest of my events team, we were also in charge of brainstorming for gifts for the guest of honours and getting logistics for the showcase. Having initiative and maintaining communication is key when it comes to group work.  Through this event, we were able to grow closer and joke about shared experiences together. Although it can get overwhelming especially when we have to deal with other modules all at once, having friends to do it with you made the process less tiresome. Kudos to the events team for working hard together!
